Creating a regular Microsoft Project plan that functions like the Administrative project feature in Project Server 2003?

Background Information

People have reported many frustrations associated with the use of the default Administrative project feature of Project Server 2003. For example, a team member cannot hide an Administrative task on the View my tasks page, even though the task is completed or is irrelevant to that team member.

Administrative projects can be helpful for capturing non-working time (such as vacation or sick leave) and non-project working time (work that is not associated with any project). Because of the issues associated with using the default Administrative project feature in Project Server 2003, however, msProjectExperts recommends that you use a regular project for the same purpose, and that you structure the regular project to work like an Administrative project. For the purpose of this FAQ, I shall refer this type of project as an “administrative plan.”

Resolution

The manager of the administrative plan should complete the following steps:

1.          Launch Microsoft Project Professional and log into Project Server

2.          Open a new blank project

3.          Enter a task list with the types of tasks you wish to track in the administrative plan

4.          Create summary tasks to organize the tasks in the plan, if necessary

5.          Click Project – Project Information and enter the Start date of the project

6.          For each task, enter the same Duration (the period of time during which you want to gather information)

7.          Click View – Table – Tracking

8.          For each task, set the Actual Start date to the same date as the Start date of the project (this step “anchors” the Start date of each task)

9.          Select all tasks in the project and then click the Task Information button on the Standard toolbar

10.     In the Multiple Task Information dialog, click the Advanced tab

11.     Set the Task Type to Fixed Duration and deselect the Effort driven option

12.     Select the first task in the administrative plan

13.     Click Window – Split

14.     In the lower viewing pane, assign one or more resources to the task with a Units value that represents the percentage of an average working day that each resource will commit to the task

In step #14, do not assign the resources at 0% Units or else they would not be able to see the task on their timesheet page in Project Web Access.

15.     Repeat step #14 for each task in the project

16.     Save the project as a regular project in the Project Server database

Warning: As your team members enter actuals for the administrative plan in Project Web Access, they should increase the Remaining Work value for each task if the Remaining Work ever reaches 0 hours. Doing so keeps these tasks in the administrative plan as “Current tasks” and makes them always visible in the timesheet.

These templates will help you in most of the situations and while project professional users belongs to multiple industries.  Few qualities of the templates are that generic resources with defined skills are assigned.  Cuncurrent task are definfed and it it verys easy to see the critical paths.  The tasks have notes assiged to it which make it easy to understand.

    FIFA Worldcup WebPart

    As most of you know and if you dont then now you will know that FIFA Soccer world cup is now under 40 days to go.  If you do not know about it or looking for more information Click here.  But i did’nt blog about it just to tell you about it.  The purpose of this blog is to let you know about another great great product by TAM TAM guys from netherland.  It is now called Worldcup webpart.  These webparts will save your perdictions using a public webservice and then shows a result from analysis from other people who used the perdiction webpart.  If you have a Sharepoint environment in your organization and there are people who are interested in Soccer worldcup then you must use the web part.

    PDC 2006

    I just got information from CHAD who is MEA evangalist for middle east and Afrika that PDC 2006 will be held on June 28 and June 29th (Tentative).  The year the event will be in both Lahore and karachi.  Although this is not final but microsoft is planning to video feed the sessions from lahore to karachi and karachi to lahore.  That is absolutly nice.  I think microsoft has realized the passion for PDC for people in lahore who have to travel to karachi for the event.  I think this PDC event will be JAMMED pack.  So everyone tight your seatbelt and wait for registeration to start.  This year it may be First come first get.

    HOW TO ENTER OVERTIME WORK IN PWA

    How do Team Members enter actual overtime work in Project Web Access?

    Resolution

    If your organization's method for tracking progress is Hours of work done per day or per week, then each team member can add a line for Actual Overtime Work to his/her Project Web Access timesheet. To do this, each team member should complete the following steps:

    1.       Click the View Options tab

    2.       Select the "Show Overtime Work" option

    If your organization's method for tracking progress is Actual work done and work remaining, then all project managers will need to add the Actual Overtime Work column to the list of publish fields for all projects that they manage. To do so, each project manager must complete the following steps:

    1.   Launch Microsoft Project Professional and log into Project Server

    2.       Open a project

    3.       Click Tools – Customize – Published fields

    4.       Select the Actual Overtime Work field from the list on the left and copy it to the list on the right

    5.       Click the "Set as default" button to add this field to all new blank projects

    6.       Click OK

    7.       Click Collaborate – Publish – Republish Assignments and then click OK

    Note: If your organization uses Project Server 2003 along with the Actual work done and work remaining method of tracking progress, the Project Server administrator must add the Actual Overtime Work field to the Timesheet view by completing the following steps:

    1.   Log into Project Web Access with administrator permissions

    2.       Click Admin – Manage views

    3.       Select the Timesheet view and click the Modify View button

    4.       Add the Actual Overtime Work field to the list on the right

    5.       Position the Actual Overtime Work field using the Up and Down buttons

    6.       Click the Save Changes button
